Manage your staff, assign PINs, and configure granular permissions.

Your Bartenders Are Your Best Asset

Managing a bar means balancing trust with security. BarBud's team management features allow you to grant access efficiently while protecting sensitive operations behind PIN locks.

1. Creating Staff Profiles

Before a staff member can use the system or track sales, they need a profile.

  1. Go to Settings (Gear Icon in sidebar).
  2. Click on the Staffing tab.
  3. In the Staff Management section, enter a name and click + Add.
  4. Optionally assign a unique 4-digit PIN.
  5. Select a distinctive Color for quick visual identification on the dashboard.

2. Granular Permissions

Not everyone needs access to every part of the app. Set permissions to keep things clean.

In the Staffing tab, you can set the "Default Bartender Role Permissions". If you need to override these for a specific individual (like a Manager), click "Edit" next to their name and set custom permissions.

3. Shift Scheduling

You can create schedules for your staff directly in the app.

  • Go to the Staffing tab in Settings.
  • Scroll down to the Scheduling section.
  • Select the date, start time, and end time.
  • Check the boxes next to the bartenders working that shift.

4. Securing Operations

BarBud uses an internal Admin PIN to secure sensitive actions.

  • Go to SettingsAccount.
  • Set the master Admin PIN.
  • You can then enable settings like "Require PIN to Issue Refund".

When a regular bartender attempts these actions, the app will prompt for a manager's PIN to authorize it.

Pro Tip

You can temporarily deactivate a bartender instead of deleting them entirely. This preserves their sales history for your records without allowing them to log in.
